Hiring Freelancers
Campus partners are encouraged to use freelancers from these vetted lists when possible. All freelancers, listed here or otherwise, are expected to follow University policies, guidelines, and standards as outlined throughout this website.
What are my goals?
Photography
Some photographers specialize in certain types of photography, such as headshots, portraits, or event coverage. Photographers skilled at headshots will be listed in the notes section under their contact information on the UMC list.
Videography
Decide what your goals are so the videographer has an understanding of deliverables before payment is agreed upon. Some questions to ask yourself before hiring the videographer include:
- How do you want the video to be used? (An event filmed for archival purposes, a string of interviews to edit into a short wrap, a video to use at an upcoming event, content for a website or social media)
- What do you hope to accomplish? (A call to action, promoting a campaign, etc.)
- What will the videographer need to film and what length do you need the video to be?
What will it cost?
Photography
Many photographers have a two-hour minimum fee, and others have half-day rates. Ask the photographer for their rates and minimum requirements and land on a price before the shoot. Make sure you know how much the photographer will charge if he/she is asked to work beyond the negotiated hours.
Videography
Discuss your budget with the videographer and their rates to land on a price before the shoot.
How do they get paid?
After completing the job, the photographer or videographer should send you an invoice. Send the invoice to Accounts Payables, or Payables@LUC.edu. It generally takes 10 business days to process the invoice.
When will I receive my content?
Photography
Some photographers will turn around images the same day, while others take a week or more. Discuss the turnaround time and your needs with the photographer up front and ask for a rush of deliverables if you have an immediate need.
Some schools and departments want to be able to post a photo to their social media accounts during an event. Photographers able to fulfill this need on the approved UMC Freelance list will have “photos available in real time” in the notes section under their contact information.
Videography
Talk to the videographer up front about their timeline and your expectations, such as whether you need time to review/approve the video. If you have an immediate need for the video you may need to ask for a rush of deliverables.
How will I get my content?
Ask the photographer or videographer about their preferred method of file sharing. Some send a secure link through Yousendit, Dropbox, or another file sharing service, or you may request that the video be delivered on a thumb drive.

How many photos will I receive?
Let the photographer know your needs in advance of the shoot. If they are covering an event, you may want to provide them with a shot list to make sure they get all of the photographs you need. If it is a big event, make sure there is a point-person or liaison to assist them at the shoot.
If the photographer is taking headshots, let them know how many you want clients to choose from. Prepare the photographer for success and manage expectations up front.
How will the photos be used?
If you plan to use the photos for archival purposes or internal departmental use, they can be sent to anyone on your team after the event or assignment. If you’d like the photos to be available for marketing or editorial use, have the photographer email the photos to our University photographer. Please request they use the UMC Captioning Guide to title and caption their photos. Photographers on our freelance list are likely to be familiar with this process and the captioning guide.
In addition to placing the photos on a backup server, UMC will place selected images in a digital photo archive to be accessed internally.

What other assets do I want to include in the video?
Discuss with the videographer in advance if you’d like to include additional materials, such as archival material or photos, and how to share those assets.
Submit any text you’d like to include for slides, lower thirds, and an introduction/closer.
Will I have access to the raw footage?
If you think you might use the raw footage from the video project sometime in the future, discuss how you can get access to the footage after the project is complete.
Some organizations will put video footage on hard drive, or ask you to purchase a hard drive in advance so they may transfer the footage onto a drive for you. If you need footage directly after an event, let the video freelancer know upfront.
The video is ready, now what?
We have the right and request to see the final video before it is officially published to make sure it adheres to Loyola’s branding standards. Please send the final video to UMC@LUC.edu.
