Service-Learning Documentation

Service-learning offers the opportunity for faculty to extend learning opportunities and experiences into the community. The Center for Engaged Learning, Teaching, and Scholarship offers these tools, forms, and resources to help faculty manage these experiences successfully: 

Site Agreement 

The Learning Agreement 2024-2025 consists of two pages.  Page One is signed by the student and left with the community supervisor; it documents the student's commitment and contains information about the class in which the student is enrolled. Page Two documents the agreement between the student and the community organization supervisor.  The supervisor signs the form during the student’s orientation. The form is then returned to the faculty member. 

Required Documentation 

All service-learning courses and service-learning/internship course placements must be documented in LOCUS as part of the university's Engaged Learning Requirement. In placement model classes, where individual students are required to secure t‌heir own service sites, students are also responsible for creating an individual engaged learning record in LOCUS.  Instructions for creating this record are available here - Student LOCUS Engaged Learning Tutorial. Here is a PowerPoint of the instructions on Entering Engaged Learning into LOCUS, for those that would like a more step by step view vs. a video. 

In project or community education/advocacy classes, where groups of students (or entire classes) are cooperating to complete community-based projects with one or more organization partners, the CELTS staff can create class-specific "template" descriptions that can be used to create these engaged learning records for multiple students at the same time. Faculty desiring to use a template for their courses should reach out to shaarman@luc.edu

Approving Student Work - Once students have entered their information into LOCUS, it is the responsibility of the course instructor to APPROVE students' sites. This step is extremely important for risk management purposes, as it demonstrates to Loyola's insurer that a faculty member was aware of students' off-campus activities and that they are therefore covered by Loyola's general liability policy. Optional Documentation 

Documenting Student Hours

 

All service-learning courses require that students serve a minimum of 20 hours with a community partner or on a classroom project, education campaign, or research study. CELTS does not require any documenation of the hours and leaves that process up to the decrestion of the faculty member. Faculty can ask students to complete an Hours Log in order to document completion or to have the site supervisor send an email to them confirming the student has met the time requirement.
